Job Title: Patient Services Representative II Location: Onsite | 350 Hawthorne Ave, Oakland, CA 94609 Schedule: 5x8 | 08:00-17:00 Summary / Duties: Serves as the first point of contact for patients entering an outpatient medical facility. This role is not intended for inpatient or clinical care functions. Responsibilities include greeting and checking in patients, verifying demographic and insurance information, confirming authorizations, scheduling appointments, updating the EHR, and facilitating intake forms and payment collection. The Patient Services Representative II answers phones, supports general clerical workflows, maintains accurate documentation, and ensures routine and priority tasks are completed within department time frames. The role requires professional communication with patients, families, providers, and staff while maintaining a clean, organized, and safe workspace. Responsibilities must be performed in compliance with organizational policies, regulatory requirements, and strict PHI privacy standards. Requirements: HS Diploma or equivalent education/experience 1+ year of recent relevant experience in patient services, registration, front desk, or medical office support Experience with patient check-in, appointment scheduling, intake procedures, and form completion Experience with Electronic Health Record (EHR) updates and patient demographic/insurance verification Basic knowledge of insurance policies, procedures, patient billing, and authorizations Ability to maintain strict confidentiality and protect PHI in compliance with privacy requirements Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook Ability to manage multiple tasks, prioritize work, and meet deadlines in a high-interruption environment Preferred Requirements: Experience in an outpatient medical facility Experience collecting payments for healthcare services Experience answering phones and providing customer service in a clinical setting Ability to interpret written, oral, diagram, and schedule-based instructions Ability to build collaborative relationships with peers, providers, and department staff
